We are currently looking for an enthusiast Office Support Manager to work closely with our Management Team  and strengthen our reception team at our headquarters in Mechelen.

JOB

You will provide main support to the reception desk and be responsible of the office management at HQ. You will report to the Legal & Public Relations Director.

  • Provide general support to visitors
  • Organize and schedule meetings and appointments
  • Partner with several departments such as Legal, Communication, HR, Procurement, IT...
  • Responsible for creating content & visuals, doing PowerPoint slides and making presentations
  • Translation and taking notes in Dutch, French and English
  • Writing of official communication
  • Support the onboarding of new employees at HQ
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment
  • Manage relationships and contracts with social insurances

PROFILE
  • Bachelor degree in Office Management, Communication or equivalent by experience
  • Proven office management, administrative, or assistant experience
  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • You have to capacity to work autonomously
  • Attention to detail and problem solving skills
  • Very good written and verbal communication skills in Dutch, French and English is a plus!
  • Strong organizational and planning skills
  • A healthy dose of assertiveness and diplomacy apply to you.
  • Discretion, integrity, professionalism and responsibility characterise you strongly
  • Proficient in Microsoft Office (Excel, PPT, Word)
  • You are a very creative person and dynamic
  • Computer skills and knowledge of office software package
  • You are flexible and a team player
